Hiring: Executive Administrative Assistant

$58K – $62K based on experience

The DC Chamber of Commerce (“DC Chamber”) is a 501(c)(6) non-profit organization dedicated to promoting economic, commercial, industrial and general civic welfare of the District of Columbia. It is headquartered at 1133 21st Street, NW, Washington, DC 20036.

The DC Chamber seeks an organized, proactive, and detail-driven individual with excellent communication skills for the Executive Administrative Assistant position. Under the leadership of the Senior Team, this position is responsible for supporting the day-to-day administrative needs within various areas of the organization. This position reports jointly to the President & CEO and the Senior Team.

Position Responsibilities:

Administrative

  • Process incoming and outgoing mail
  • Phone coverage and greeting in-person guests
  • Coordinate conference room reservations when needed
  • Calendar management
  • Perpare correspondence and mail merges
  • Take notes and meeting minutes as requested
  • Create and maintain filing systems, both electronic and physical


Board of Directors Meetings

  • Assist in preparing and distributing materials for upcoming meetings
  • Coordinate logistics for virtual and in-person meetings (including Zoom functionality)
  • Track fulfillment of board responsibilities and service terms


Events / Programs / Other Meetings

  • Assist in preparing meeting and event materials as requested
  • Assist in preparing correspondence and mail merges as assigned
  • Assist in event preparation and day-of execution as assigned


Government Affairs Meetings (including Subgroups & Workgroups)

  • Coordinate logistics for virtual and in-person meetings
  • Take notes and meeting minutes as requested
  • Assist in preparing and distributing materials for upcoming meetings
  • Coordinate logistics for virtual and in-person meetings (including Zoom functionality)


Miscellaneous

  • Assist with Member Outreach as needed
  • Attend Chamber-hosted events and receptions (some may be outside of normal work hours)
  • Other duties as assigned

 

Knowledge, Skills, and Abilities:

  • Strong knowledge of all Microsoft Office Professional (specifically Word, Excel, and Power Point), Google applications, mobile apps, and social media outlets.
  • Must be capable of working with people from all backgrounds, nationalities, race, gender, and professional levels.
  • Must be flexible regarding job responsibilities.
  • Excellent interpersonal skills.
  • Must be able to communicate effectively in English (both written and verbally)
  • Ability to deal with constantly changing work demands.
  • Excellent written, grammatical, and oral communication skills.
  • Demonstrate the ability to organize and prioritize multiple tasks simultaneously and produce quality results.
  • Due to the nature of the responsibilities and daily tasks, this position is required to report to the office a minimum of three (3) days per week.

 

Requirements

  • Must have 4 to 5 years of working experience in an administrative or support capacity.
  • Must have a minimum of an Associate’s Degree.
  • Candidates must currently reside in the DC Metro area and have reliable transportation to get and from the office. Candidates outside of this area will not be considered.
  • Must be eligible for full-time employment in the District of Columbia.
